BrainPOP,  a global leader in online animated educational resources, seeks an accounting assistant to provide financial, administrative, and clerical support. As accounting assistant, you will handle the processing of accounts payable as well as travel and entertainment expenses. This is a full-time position reporting to the Controller/Finance Director, based in our New York City headquarters. We offer an excellent benefits package and competitive salary.

Primary Responsibilities

  • Processing accounts payable
    • Provide full cycle accounts payable duties for BrainPOP and related companies
    • Verify calculations on invoices
    • Verify federal ID numbers via W-9
    • Verify that all expenses are in line with established policies and procedures
    • Ensure all invoices are approved by the appropriate manager
    • Code expenses to the correct general ledger account
  • Prepare and send vendor checks
  • Contact vendors as needed to investigate and resolve discrepancies in a timely manner
  • Processing travel and entertainment expense reports:
    • Process employee expense reports in a timely manner using the Concur T&E reporting system.
    • Ensure all reports are approved by the appropriate manager
    • Ensure expenses are coded to the appropriate general ledger account
    • Ensure proper documentation is attached
    • Ensure expenses are in compliance with company policy
    • Communicate with employees regarding discrepancies or missing documentation

Additional Responsibilities

  • Handle special projects and requests from management team
  • Record bank transfers and other intercompany transactions
  • Prepare reconciliations for general ledger accounts, including prepaid expenses and fixed assets
  • Assist Finance department and HR director as needed
  • Assist with any quarterly or annual tax organization and reporting requirements

Qualifications

  • Bachelor’s degree
  • Strong communication skills
  • Excellent attention to detail
  • Proficiency in Microsoft Office and high-level Excel skills
  • Accounting/finance experience and experience with Netsuite or other ERP system a plus
